Role Summary
This position supports the ongoing responsibility to portray an image of professionalism in a polite and courteous manner, and maintain an equivalent environment. The incumbent is expected to initiate solutions to any array of situations, and maintain the confidentiality of the division. The receptionist will assist in completing administrative duties for other departments.
Key Responsibilities- Attend the switchboard in a professional courteous and efficient manner. This includes answering all calls internal and external, transferring calls to the proper extensions.
- Greet and direct visitors in a positive, polite and professional manner, while following security procedures and maintaining a neat environment.
- Process incoming mail and courier deliveries, date stamp, distribute.
- Maintain regularly and make available internal employee extension directory, emergency phone lists and company mobile phone listings
- Maintain inventory levels of paper, labels for printer and any other department specific equipment used.
- Monitoring performance of copiers. Update WSIB Clearance Certificate and liability insurance of all contractors
- Administer correct distribution of Waste Manifests
- Administer and maintain SDS information in cooperation with HSE Coordinator (i.e. maintain main list, request copies and distribute updated SDS Sheets
- Assist Human resources Department with administrative tasks including but not limited to event planning,
- Assist HSE Department with Administrative Tasks
- Administers the HR KPI reports weekly
- Follows COVID Protocol as of March 2020 until further notice
- Assist all departments with administrative tasks after approval by HR Manager
- Set up web cast in Boardroom if required
- Maintain 407 Transponder Log
- Administer travel Program i.e. arranging for rental cars and returns of such, book flights and manage itinerary according to P&F Tool & Die's Travel Policy
- Distribute faxes print outs etc. from Main Photocopier/Fax Machine
- Perform all duties and promote themselves in a manner that reflects the P&F expectations, P&F's vision/values through Magna's Employee Charter.
- Follow and abide by all government, Legal, Magna and P&F rules and regulations as outlined in the Employee Handbook.
- Contribute to continuous improvement and cost reduction activities.
- Assisting in arranging for coverage during employee meeting times, training times or short time absences
- All other duties as assigned by the Manager from time to time
- High School graduation diploma or equivalent.
- Excellent telephone manner.
- Advanced MS Office Skills a must (Excel, Word, PowerPoint).
- Excellent Math Skills
- Previous Experience in reception switchboard/ position a must
- Excellent organizational, interpersonal and communication skills.
- Ability to work effectively within a team environment.
- Able to maintain confidentiality.
- Excellent knowledge of English language written and oral
